Panasonic Quick Reference Guide

The following information will guide you through common changes and programming instructions for your Panasonic business telephone system and voicemail system. We have included instructions on simplistic changes that we feel the end user could make by following our instructions.

If you don’t see the answer to the changes you would like to make to your phone system or voicemail, you will most likely need a technician’s assistance. Certain changes require a Panasonic maintenance programming tool and a trained professional to complete more complex programming changes. If you are unable to complete the programming changes to your phone system please contact us for further assistance.

The following instructions can be used for Panasonic KX-TDA50, Panasonic KX-TDA50G, Panasonic KX-TDA100, Panasonic KX-TDE100, Panasonic KX-TDA200, Panasonic KX-TDE200, Panasonic KX-TDA600, Panasonic KX-TDE600, Panasonic KX-NCP500, Panasonic KX-NCP1000 phone system. These instructions will also cover programming changes for the KX-TVA50 and KX-TVA200 voicemail systems.

How To Set The Date

1. Press the button directly under PROG in the display.

2. Dial *# Enter 1234 for password

3. System will ask for Sys-Pgm No? System Program number

4. Enter 000

5. Press enter

6. Dial the 2 digit year, Press button under sel+ in the display for the right month, Press the button directly under the arrow facing right to move curser over to the day, Dial the 1 or 2 digit day

7. Press enter

How To Set The Time

1. Press the button directly under PROG in the display

2. Dial *# Enter 1234 for password

3. System will ask for Sys-Pgm No? (System Program number)

4. Enter 000

5. Press enter

6. Press the button directly under next in the display

7. Dial the 2 digit hour, and 2 digit minute. Press sel+ for AM or PM.

8. Press enter

How To Change The Name In The Display:

1. Press the button directly under PROG in the display

2. Dial *# Enter 1234 for password

3. System will ask for Sys-Pgm No? (System Program number)

4. Dial 004 and Press enter

5. Dial the appropriate entension number

6. Using the keypad spell out what you want the display to say. For a space press the button directly under the arrow in the display

7. When finished press enter

How To Make A Conference Call:

1.  While talking on a line, press conference, (do not put the line on hold)

2.  Choose another line and dial the number or choose another extension on the system

3.  Press conference again.  (To leave conference press conference again, to rejoin press conference again)

4.  When finished hang up

How To Transfer A Call To Another Extension:

1.  While on a call, press the transfer button on the bottom of the phone

2.  Press the button of the person’s extension and hang up. If you do not have a button for that person’s phone, dial the extension number of that person on the keypad and hang up.

How to announce a call before transferring it:

1.  While on a call, press the hold button

2.  Press the button that corresponds to the person you want to announce to. If you do not have a button for that person’s phone, dial the extension number of that person on the keypad.

3.  When that person answers announce the call. If they choose to accept the call, hang up. If they do not want to talk to that person, press the line they are holding on to get the call back

How To Transfer A Call Directly To A User’s Voicemail:

1.  While on the call, press the voicemail transfer button (usually labeled VMT) Do not put the line on hold

2.  Press the button that corresponds to the person you want to transfer the call to. If you do not have a button for that person dial their extension on the keypad and hang up

How To Enter A System Speed Dial Number:

1.  You must enter system programming by pressing the button under Prog in the display,dialing *#1234.

2.  The display will say Sys-Pgm No? which means it’s asking for a program number. Dial 001.Press Enter.

3.  System then asks for a bin number. Bin numbers range from 000 to 999. Enter the first available bin that doesn’t already have a number assigned to it.(If you don’t know the first available bin number, you can start with 000 and then using the down arrow on the wheel at the bottom of the phone, scroll through the bin numbers until one is available.)

4.  Dial the number you want stored in the bin. (It is often helpful to put a 9 in front of the number so it automatically grabs a line.) Press enter

5.  Hang up phone

How To Make A Call Using System Speed Dialing:

1.  Pick up receiver or press sp-phone

2.  Press button labeled auto dial and dial the 3 digit bin number

How To Put Names With System Speed Dial Bins:

1. Enter System Programming ie. (Prog,   *#,  1234)

2. System will ask for a program number. Dial 002

3. Press enter

4. Enter corresponding bin number

5. Using the keypad, spell out the name of the party you are calling, if letter is on the same key, use the right arrow to move the curser forward

6. Press enter when finished

How To Dial A System Speed Dial Number Using The Name:

1. Press the button under menu in the display

2. Using the down arrow on the wheel at the bottom of the phone, scroll down to system directory. Press enter

3. Using the keypad begin to spell the name of the person you are calling. Press enter

4. When you see the arrow in the display in front of the name of the person you are calling, pick up and the call will automatically be dialed.

How To Program A Button To Be A DSS (direct station selection) key:

1. Press the button under prog in the display

2. Press the button you are wanting to program

Note: If something is already under the button you must press the button under clear in the display until the display is blank. If the button is not programmed for some other function the display will say “not stored” when you press it and you can skip clearing any previous information assigned to that button

3. Dial 1 on the keypad

4. Dial on the keypad the extension number of the person you want the button to transfer to

5. Press enter

6. Hang up phone to exit programming or press another button to program.

How To Program A Speed Dial Button:

1. Press the button under prog in the display

2. Press the button you want to program

3. Using the keypad dial the number you want stored under the button. Enter it the same way you would dial it, ie; 1- area code-number or just 7 digit local number

Note: It is often helpful if you dial a 9 before the number eliminating the need to pick a line when calling the number. A 9 will automatically grab a line for you

4. After number is entered press enter

5. Hang up the phone to exit programming or press another button to be programmed

How To Rerecord Main System Greeting:

1. Press Your Voicemail Access button, usually labeled VMA

2. Dial #6*998

3. Enter the voicemail main password, usually 1234 followed by #.

4. Dial 5 to “modify message”

5. Dial 3 for “custom service prompt” which is the term the voicemail uses to describe main system greeting

6. Enter the appropriate custom service prompt number, usually 1 for day and 2 for night

7. Follow the audio prompts for recording greeting

8. When you are finished recording, press 1

9. Listen to recording you just made

10. If you are satisfied with the recording press 2 to accept. If you do not do this the old recording will remain

11. If you are not satisfied press 3 to erase and try again

NOTE:  You must know the correct number of the custom service prompt you are wanting to change, these can vary from one installation to another

How to Turn off Message Light:

1. Do not pick up handset

2. Press message button

3. Select ‘clear’

How To Retrieve Your Messages When You Are Out:

If Phones Are Answered By Voicemail:

1. Call main number

2. When voicemail answers dial #6*, then your mailbox number

3. Enter your Voicemail password if you have one

4. Voicemail will audibly list prompts for you to follow

If Calls Are Answered By A Person:

1. Call main number

2. When person answers they must press the transfer button at the bottom of the phone and dial 500

3. When voicemail answers dial #6*, then your mailbox number

4. Enter your Voicemail password if you have one

5. Voicemail will audibly list prompts for you to follow

How To Change Your Personal Greeting:

If Prompts Are Visual:

1. Press your voicemail access button (VMA)

2. Press the down arrow on the wheel at the bottom of the phone to mailbox management, press enter

3. Press enter for personal greeting

4. Press enter for no answer greeting

5. If no greeting exists yet press the button directly under rec in the display

6. When you have finished recording press the button directly under stop in the display

7. If satisfied press button directly under acpt in the display or you can press the button under play to listen, then press button under acpt. If you are not satisfied press the button under shift, then record again. Press acpt when satisfied

If Prompts Are Audio:

1. Press your voicemail access button (VMA)

2. Dial 3 for mailbox management

3. Dial 1 for no answer greeting

4. D ial 1 to record

5. After recording press 1. Then press 1 to listen, 2 to accept, or 3 to try again

How To Change Your Mailbox Name:

If Prompts Are Visual:

1. Press your voicemail access button (VMA)

2. Press the down arrow on the wheel at the bottom of the phone to mailbox management, press enter

3. Press down arrow on the wheel at the bottom of the phone to owner name

4. If no name exists yet press the button directly under rec in the display

5. State your first and last name

6. When you have finished recording press the button directly under stop in the display. If satisfied press button directly under acpt in the display or you can press the button under play to listen, then press button under acpt. If you are not satisfied press the button under shift, then rec again. Press acpt when satisfied.

If Prompts Are Audio:

1. Press your voicemail access button (VMA)

2. Dial 3 for mailbox management

3. Dial 3 for owner name

4. After stating your first and last name, press 1.

5. Then press 2 to accept or 3 to rerecord

Changing A Former Employees Password:

1. Press your voicemail access button (VMA)

2. Dial #6*999

3. Enter 1234# for voicemail password

4. Press 4 for other features

5. Press 1 to edit mailboxes

6. Press 3 to delete mailbox password

7. Enter the number of the mailbox whose password you want to delete

NOTE: That mailbox will no longer have a password until another one is put in by the next user at the phone associated with that mailbox.

How to Program a Headset Button:

Touch the PROG button in the Display

Touch the  Button where you want the headset Button

Dial 67

Touch the Enter Button

The new headset button should light up now.

To make a call, answer a call or hang up a call just touch your speaker button.
